Legal Secretary/Receptionist – Albany, NY

Prisoners’ Legal Services of New York (PLS) is seeking applicants for the position of Legal Secretary /Receptionist in our Albany office.

PLS is a nonprofit, statewide law office that provides free civil legal services to people incarcerated in New York State prisons. PLS engages in civil rights advocacy and litigation including cases involving claims of unconstitutional conditions of confinement, prolonged placement in solitary confinement, deliberate indifference to serious mental health and medical needs, excessive use of force, failure to protect, access to education, sentence computation issues, disability rights, and more. We have regional offices in Albany, Buffalo, Ithaca, and Newburgh.

This position requires extremely strong computer and case management system skills, as well as legal secretary and organizational skills. Proficiency in Microsoft Excel, Word and Outlook is required, as is the ability to learn new computer programs. This position also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients, agencies, and vendors. The legal secretary handles information of a confidential and time sensitive nature.

Responsibilities

Perform a wide range of duties including, but not limited to:

  • Answer phone calls, receive and screen visitors
  • Open mail and process intake
  • Case management system data entry
  • Compose correspondence of a routine nature for attorneys 
  • Establish and maintain record keeping and filing systems for office
  • Prepare disbursements, billing, expense vouchers and maintain financial expense records
  • Follow up with prison staff on record requests
  • General office administration
